Quick fix

Make sure the search scope covers your whole mailbox, then in classic Outlook select the search box and choose Search Tools > Indexing Status. If items are still being indexed, leave Outlook open to finish; if search stays broken, rebuild the index in Indexing Options.

What it means

In classic Outlook, search depends on the Windows search index, a catalog of your mail that Windows builds in the background. If indexing is paused, unfinished or damaged, search shows no results or misses recent emails. Search can also look in too small an area, such as only the current folder, or miss older mail that classic Outlook hasn't downloaded to your PC.

Common causes

  • Search is limited to the current folder
  • Windows is still indexing your mail, for example after a Windows upgrade
  • Outlook is not included in the Windows indexing locations
  • The Windows Search service isn't running
  • Classic Outlook only keeps recent mail on your PC
  • A damaged search index

How to fix it

Work down the list. Each fix is safe to try before moving on to the next.

01Search the whole mailbox, not just one folderEasy

  1. Select the search box at the top of Outlook.
  2. Classic Outlook: look at the Scope group on the Search tab and choose Current Mailbox or All Outlook Items instead of Current Folder.
  3. Try a simple search, such as one word from the subject or the sender's name.

Why it helps: If search only looks in the current folder, it can't find mail stored anywhere else.

02Restart Outlook and the PCEasy

  1. Close Outlook.
  2. Right-click Start, open Task Manager and end Microsoft Outlook if it is still listed.
  3. Restart the PC, open Outlook and wait a few minutes before searching.

Why it helps: A restart can unstick a paused search index or a frozen search.

03Try the same search in Outlook on the webEasy

  1. In a browser, sign in to Outlook on the web (Outlook.com for personal accounts, or your organization's Outlook on the web for work accounts).
  2. Search for the same email there.
  3. If it is found on the web but not in Outlook on your PC, the problem is the search index or app on this PC.
  4. Use the web version for urgent searches while you fix the app.

Why it helps: This confirms the email exists and narrows the problem to your PC.

04If you use classic Outlook, check the indexing statusEasy

  1. Select the search box, or press Ctrl + E, to show the Search tab.
  2. Select Search Tools > Indexing Status.
  3. If items are still waiting to be indexed, leave the PC on with Outlook open until the number reaches zero. This can take hours for a large mailbox.
  4. If the count never goes down, carry on with the fixes below.

Why it helps: Search misses recent emails until Windows has finished adding them to the index.

05If you use classic Outlook, make sure Outlook is indexedMedium

  1. Go to File > Options > Search.
  2. Under Sources, select Indexing Options.
  3. Check that Microsoft Outlook appears under the locations being indexed.
  4. If it doesn't, select Modify, tick Microsoft Outlook and select OK, then let indexing run.

Why it helps: If Outlook isn't in the indexed locations, search has nothing to look through.

06If you use classic Outlook, make sure Windows Search is runningMedium

  1. Close Outlook.
  2. Press Windows + R, type services.msc and select OK.
  3. Find Windows Search in the list and check its status.
  4. If it is not running, right-click it, choose Properties, select Start and then OK.
  5. If Start is grayed out, set Startup type to Automatic (Delayed Start), select Apply, then select Start.
  6. Open Outlook and try searching again after a few minutes.

Why it helps: Classic Outlook search relies on the Windows Search service to build and read the index.

07If old emails are missing in classic Outlook, keep more mail on your PCMedium

  1. Go to File > Account Settings > Account Settings.
  2. On the Email tab, select your account and choose Change.
  3. Move the Download email for the past: slider to a longer period, or to All.
  4. Select Next, then Done, and restart Outlook. Mail downloads and is indexed over time, and uses more disk space.

Why it helps: Classic Outlook can only index mail it has downloaded to your PC.

08Install updates and repair OfficeMedium

  1. Open Settings > Windows Update, select Check for updates and install everything.
  2. Classic Outlook: go to File > Office Account > Update Options > Update Now.
  3. If search still fails, close all Office apps, right-click Start, select Installed apps, select the three dots next to Microsoft 365 and choose Modify, then run Quick Repair.
  4. New Outlook: it updates itself automatically. To repair it, open Settings > Apps > Installed apps, select the three dots next to Outlook (new), choose Advanced options and select Repair (not Reset, which deletes the app's data on this PC).

Why it helps: Updates and repairs fix known search bugs and damaged program files.

09If you use classic Outlook, rebuild the search indexAdvanced

  1. Note: search will be incomplete until the rebuild finishes, which can take many hours. No email is deleted.
  2. Close Outlook.
  3. Open Control Panel from Start and choose Indexing Options (type Indexing in the Control Panel search box if you can't see it).
  4. Select Advanced, then on the Index Settings tab, under Troubleshooting, select Rebuild, and OK.
  5. Open Outlook and leave the PC on until Search Tools > Indexing Status shows indexing is complete.

Why it helps: A fresh index replaces a damaged one that returns no or partial results.

Check it's fixed

  • Searching for a word from today's email finds it.
  • Search Tools > Indexing Status in classic Outlook shows that indexing is complete.
  • Searches return the same results as Outlook on the web.

When to get help

If search still fails after rebuilding the index, or the indexing count never goes down, contact your IT team or Microsoft support. Work PCs may have search or mailbox settings managed by your organization.

Questions

Why doesn't Outlook search show my recent emails?

In classic Outlook, new mail must be indexed by Windows before search can find it. Check Search Tools > Indexing Status and give indexing time to finish.

Why did Outlook search stop working after a Windows upgrade?

Upgrading Windows can delete the search index, which then rebuilds in the background. Search results stay incomplete until that finishes.

Does rebuilding the index delete my emails?

No. It only rebuilds Windows' catalog of your mail. Your messages stay where they are.
